7 to 14 passengersHigh roof Sprinter with individual seats, full standing height and luggage capacity for a working group. The vehicle for leadership travel, donor and guest transport, and any run where the vehicle is part of the impression.
Premium van, Ford Transit
7 to 14 passengersThe workhorse of the fleet and the right call for shuttle loops, athletics, student groups and repeat campus routes. Same standard of driver and cleanliness at a lower hourly rate than the Sprinter line.
Premium SUV and van
2 to 6 passengersCaptain's chairs and a quiet cabin for executive transfers, airport runs and small party point to point. The default for a single executive, a visiting speaker, or a patient and companion.
Credentials
What clears procurement.
Group transportation should feel like a managed service, not a gamble on whoever answers the phone. Here is the paperwork your risk office asks for, before they ask for it.
Federal motor carrier registration. Every vehicle registered and inspected in Texas.
Plus commercial auto liability. Additional insured and waiver of subrogation on both policies.
A COI naming your organization is issued at no charge, usually the same business day.
Purchase orders accepted and referenced on every invoice line. Net 10 and Net 20 also available.

Limits below are transcribed from our current ACORD 25 certificate. The certificate governs in the event of any discrepancy, and a copy naming your organization is issued on request.

Certificates & endorsements
- Both policies carry additional insured and waiver of subrogation provisions, marked Y / Y on the certificate.
- A certificate naming your organization as certificate holder and additional insured is issued at no charge, usually the same business day.
- Renewal certificates are issued automatically before expiration. Give us the address they should go to.
- Notice of cancellation is delivered in accordance with policy provisions.

Effective July 2026. Every engagement still gets a written proposal against your actual itinerary. This is the table it is built from.

Extra hours beyond the minimum are billed at the hourly rate less 10%. Four or more vehicles booked for the same date receive 10% off the booking total; discounts do not stack. Gratuity is not applied to corporate and institutional events.

No metered surprises. The number below is the number on the invoice. Live flight tracking is included on every airport run at no charge.

Every trip runs on our own dispatch and tracking platform. That is what lets us answer a question about a run three months later with a record rather than a memory, and it is usually what a risk office wants to hear before it approves a transportation vendor.
Digital waivers
Every passenger signs, and nobody chases paper.
Waivers are signed digitally before service. No clipboard at the curb, no missing signature discovered after the fact. Executed waivers are stored against the trip record and can be produced for your risk office on request. For student and minor groups we align the waiver language to whatever your institution requires.
Billing & terms
Terms written down before you ask.
Changes & cancellation
- Charters and shuttle runs. Full refund more than 48 hours out. No refund inside 48 hours, as the vehicle and driver are committed.
- Airport transfers. Full refund more than 24 hours out. A cancelled flight becomes a credit toward a rebooking.
- Events. Full refund more than 30 days out, 50% from 15 to 29 days, none inside 14 days. A 90 day rebooking credit is offered in place of a refund.
- Retainer contracts. 14 day written cancellation notice, no mid month refund.
- Weather and safety. A trip we cancel for safety is never billed.

Procurement questions
Answered before you have to ask.
Can you provide a certificate of insurance naming our organization?
Yes, at no charge and usually the same business day. Both policies carry additional insured and waiver of subrogation provisions. Give us the exact named insured wording and the address certificates should go to, and renewals will issue automatically before expiration.
Our contract requires umbrella or workers' compensation coverage. Can you meet it?
Neither is carried on the current certificate. Tell us the required limit during scoping and we will obtain and certify it before service rather than after you have signed.
Do you accept purchase orders and invoice on net terms?
Yes. Net 30 is standard, with Net 10, Net 20 or due on receipt available. Purchase orders are accepted and the PO number is referenced on every invoice line. We can bill one consolidated invoice per month or per engagement.
Is Texas sales tax added to our invoice?
No. Pure ground transportation is not a taxable service in Texas, so no sales tax is applied.
Is gratuity added to corporate bookings?
No. Gratuity is not applied to corporate or institutional events, so the proposal total is the invoice total.
How do you handle student groups and minors?
Chaperone requirements are honored exactly as your institution writes them, and drivers do not release minors to unlisted parties. Waiver language is aligned to whatever your institution requires, and waivers are signed digitally before service.
Can you move a group larger than fourteen?
Yes, two ways. Multi vehicle convoys run on a single manifest coordinated by one dispatcher, or we bring in a 30 to 40 passenger charter bus through our partner network at $450 per hour. For a hundred plus guest event we have run three vehicles on overlapping shifts across a two day program.
What documentation can you give our risk office?
Registration, state authority and vehicle inspection records, plus driver level documentation for a specific engagement including licence copies, MVR date and screening attestation. Executed waivers and trip records are produced on request.
Can you accommodate accessibility requirements?
Accessible accommodation is arranged through vetted partner operators. Tell us the requirement at booking so it is scoped into the proposal rather than solved on the day.
Will we have one point of contact?
Yes. Every trip has a named coordinator reachable before, during and after every run, and everything bills to one account on one invoice.
